When a business acquires or spins up a new division, the ERP question comes fast: how do we get this subsidiary into our system? For companies running NetSuite, the answer seems straightforward—stand up a new subsidiary, map out how the division operated before, and rebuild those workflows.
It makes sense on the surface. The team knows how things worked in the old system. Replicating those processes feels low-risk. But this approach carries a hidden cost: you’re importing limitations from a system you’ve already outgrown.
That’s the approach our Project Manager, Rhi Thompson, took when working with a client bringing a new subsidiary division into their existing NetSuite environment. Rather than immediately scripting saved searches and building custom records to mirror the old system, Rhi started by mapping out the legacy workflows in detail—not to recreate them, but to understand the business logic underneath.
The distinction matters. In many cases, a legacy process exists because of a limitation in the prior platform. Maybe the old system couldn’t handle multi-location inventory natively, so someone built a spreadsheet-driven workaround. Replicating that workaround in NetSuite would ignore the fact that NetSuite handles multi-location inventory out of the box.
Rhi’s experience with NetSuite’s native capabilities—from subsidiary management to workflow automation—allowed her to identify which processes could be simplified or eliminated entirely, and which ones genuinely needed to carry over.
The outcome was a cleaner, more maintainable subsidiary configuration. Instead of bolting legacy logic onto a modern platform, the client ended up with workflows that align with how NetSuite is designed to work—making future changes, reporting, and scaling significantly easier.
